Sales Administration Assistant

Qualifications & Competencies

- A perfect command of the French language.

- Writing fluency and an excellent level of spelling.

- A strong sense of service, with good interpersonal skills and a keen sense of organization.

- A great capacity for concentration and rigor for the work carried out.

Responsibilities

- Ensure the processing and control of orders.

- Validate and record orders, and enter them into the supplier's platform.

- Ensure the smooth running of the follow-up of orders: inform customers of appointments, work to be carried out, validate equipment productions; and communicate progress to customers step-by-step via emails and phone calls.

- Validate with customers the commissioning of the links.

- Take care of incoming calls relating to order follow-ups and administrative requests: Identify customer needs, reassure and respond effectively to any objections.

- Follow up with customers on the corrective actions to be taken, deadlines and operating procedures in order to best respond to complaints and inform customers by email of the follow-up of the actions taken.

- Follow up with internal departments and suppliers.

- Respond quickly to disputes and complaints over the phone.

- Ensuring the processing of administrative requests.

- Analyze the content of requests: complaints on invoices, unpaid bills, etc.

- Perform information searches in order to be able to respond to customer inquiries.

Requirements

- Education: Entry-level sales administrative assistants should have a minimum of a high school diploma or GED and preferably a bachelor’s degree in business, marketing or a related field. Relevant coursework includes business law, marketing, sales, economics, finance and accounting.

- Training & Experience: Sales administrative assistants typically receive on-the-job training to learn the specific processes and procedures of the company. Training may include learning the company’s computer programs, filing systems and customer service procedures. Sales administrative assistants who have previous experience in customer service or clerical work may require less training.

- Certifications & Licenses: While sales administrative assistant roles don’t require certifications, many hiring managers prefer candidates who have earned a professional credential. Certifications show that a professional has the skills and experience to succeed in an advanced position.
